Global HR Shared Services function is a central hub of capabilities to provide HR Support Services, Payroll & Background Vetting services to staff and HR teams across all business areas. The objective of the function is to leverage HR technology infrastructure to deliver efficient HR processes and aim for operational excellence globally. Our team members are based in key hub locations across India, Asia, UK and Europe to provide these services globally within FIL. The Service Delivery Team sits within the Global HR Shared Services function and works in partnership with Compensation & Benefits, HR Business Partners and business groups to provide assistance in the area of HR administrative services and Payroll & Benefits related activities. The team is responsible for managing the payroll and administrating the benefits for the organization’s international locations, for designing and implementing various HR administrative practices and procedures, as well as for the maintenance of employee records and delivering services in a consistent and effective way across the organization.
The Global Background Vetting team sits within the Global HR Shared Services function and works in partnership with Talent Acquisition, HR Support, HR Regulatory Operations, HR Legals and other business groups and provides assistance in the area of pre-employment checks and screening requirements for our employees,suppliers and partners.
Purpose of the Role
The incumbent will be responsible for overseeing the day-to-day operations and management for the India Background vetting team together with support as and when required to the wider Global BV Team, undertaking projects or task as directed by the Senior Background Vetting Manager.
The India background vetting team is a critical function within the organisation and supports all areas of the India Business. The role requires managing and maintaining working relationships with all stakeholders, whilst managing the flow of work into and out of their team together with the individual and team performance. Working collaboratively with all parties, internally and externally to ensure that the needs of Fidelity, and our customers, are met.
Work with teams across the India business as the single point of contact (SPOC) for the India BVG function.
To undertake additional duties in line with capabilities as required and directed by the Senior Manager & Global Head of HR Shared Services.
To be able to deliver the highest standards of service delivery and operational excellence. Identify opportunities for continuous improvement through Process.
To plan and manage the day-to-day requirements for the maintenance of screening, to include conducting spot-checks on individuals to monitor compliance with vetting policies within the organsation.
In accordance with best practice, to conduct confidential and rigorous vetting enquiries on behalf of the organsation, in line with the organsation Vetting Policy.
To liaise and make enquiries as appropriate with other organisations, agencies, Regulators and suppliers in relation to the gathering of information and supporting material on an individual.
To operate across the full range of managerial responsibilities for India BVG staff, including coaching, performance management, target setting, discipline and grievance.
To be responsible for the allocation of work, managing work - streams and ensuring that SLA’s and objectives are met.
To identify detailed information as per process, required to contribute towards the security assessment of an applicant`s suitability to have access to the organsation premises, assets, equipment or information, without unacceptable risk to the well-being of any individual, justice or the integrity and reputation of the organsation.
Provide advice and guidance on BGV process as and when required.
Undertake risk assessment for cases which are contentious in nature and make recommendations to Senior Management.
Communicate with HR/Business on BGV related information in a timely manner.
Liaise with third pary vendors on the development and/or updates on screening application and requirements.
Experience and Qualifications Required
At least 5 years experience of working within a BGV or similar function, with at least 3-5 years experience of having managed/led a team.
Ability to work within complex matrix environment, to plan, organise, work under pressure and meet tight deadlines.
Deal confidently and effectively with people at all levels across.
Strong analytical skills, problem solving ability and attention to detail.
Flexible and enthusiastic approach and attitude.
The individual must have the highest level of personal honesty, integrity, conduct and confidentiality.
