Manages tasks to aid in the success of the events team:
Assist in researching, developing and maintaining annual event calendar (dates/locations etc) in support of marketing objectives.
Manage complex event calendar continuously for accuracy to determine timing and participation needs for each event
Interacts and communicates with a wide variety of internal and external audiences, including high-level leadership, FS Team members and external service providers
Schedule and manage internal and external meetings. Produce meeting agendas, presentation materials and all other related items. Develop touch points prior to and post meetings, events and other opportunities as needed
Set up weekly status calls, maintain and communicate minutes
Assist in creating event plans in regard to timing, strategy, and event plan execution with the assistance of team members.
Manage individual budgets for specific events and trade shows, reconciling actual to budget after each event.
Coordinate client services including event passes, room blocks, invites, visas for foreign travel, etc.
Prepares background information and ensures timely and strategic follow up on action items
Researches and resolves issues and problems without direction; determines course of action on requests and delegate to appropriate person/group to manage and uses substantial judgment and independent decision-making authority to assist with operations.
Venue research, logistics, communication, budget control and reporting
Submit requests to creative team based on requirements and timing
Maintaining a positive rapport and working relationship with vendors and venues
Communicate and provide information as needed on assigned areas to chosen vendors
Process invoices in accordance to accounting policies, procedures and deadlines
Process contracts with Legal in a timely and accurate manner
Other duties and projects as assigned
