WHAT YOU'LL DO
This role is responsible for running efficient professional office services that will operate in multiple time zone operating model and leading the business services resources within that office.
As an Office Operations Senior Manager – this role is responsible for the Global Services Gurgaon office operations and facilities management. The primary responsibilities of the office manager will include ensuring smooth day-to-day functioning of the office, fostering innovation and bringing new ways of managing operations. Leading a small team and supporting the office leader in managing office communications and fostering relationships with other parts of BCG. The role reports to the Business Services Lead and Office Leader.
YOU'RE GOOD AT
Act as a first point of contact and oversee GSD office operations on multiple floors/ locations and step-in for the Business Services Lead as and when required
Set and drive the office agenda working closely with the Office Leader on space management, infrastructure, culture, affiliation and budgets
Design, Development and Governance of relevant office Policy and Budgets
Provide Project Leadership to ensure the office operating model remains fit for purpose and ready for future growth and development of the business as we evolve shared services and global hub operations. This may include both infrastructure and operational change and the effective engagement of employees and managers to embed change
Work closely with other Office Leadership across BCG in the design and implementation of the ‘BCG Office Experience’ ensuring relevant local adaptions and global standards are managed as required
Handling end-to-end facilities, interiors and infrastructure of the office and liaising with all contractors for the same. Orchestrating across different departments for maintenance of all equipment in the organization and enhancing the overall efficiency - (including pushing for value in contract negotiation)
Supervise & suggest enhancements for Office Maintenance & Cafeteria Management, Facilitate Creche and Late evening transportation
Provide support in preparation of, and take accountability for all administration budgets
Provide support in developing and implementing a comprehensive administration manual with all policies, processes and procedures
Liaising with government and regulatory bodies like Electricity Boards, Local Government Agencies for obtaining necessary sanctions / approvals and ensuring smooth working condition in premises.
Develop strong relationships with key stakeholders to ensure the business needs are managed effectively Manage and proactively monitor services to ensure delivery is at optimal levels for Office Management: Budgeting, capacity planning and cost control of all office services.
Responsible for office layout and space allocation, build-outs and repairs/ maintenance
Negotiate and build relationships with key suppliers to ensure the best price, quality and service – hotels, catering, corporate stationery, car hire, travel agencies, airlines etc
Implement the office security and employee safety plan, including disaster management/emergency services. Ensure regular training is organized, and timely updates are made to the emergency plan
Liaison with property owner on all day-to-day requirements
Lead, develop and train Gurgaon office admin team.
Develop and implement employee engagement activities (in consultation with HR)
Generate monthly spend MIS against budgeted spends to capture spend trend analysis
Manage special projects, as needed
Risk and compliance
- Support Office Leader in coordinating with global security team to document and execute "Business Continuity Plan"
- Continuous assessment / monitoring, reporting and implementation of practical risk management approaches
- Oversee entity and vendor compliance adherence for eg: CLRA, 3rd party compliances
- Design, implement yearly training calendar for outsourced staff with relevant topics e.g.- POSH, Labor compliance etc.
Partnership with other BCG offices / teams
- Build and foster relationship with other Global Services hubs – best practice sharing, aligning on key policies/practices relating to office/vendor management, affiliation, risk management etc.
- Liaise with HR & Legal and government offices / personnel (if needed) to ensure office compliances
YOU BRING (EXPERIENCE & QUALIFICATIONS)
A graduation degree
15+ years’ experience in a people management role responsible for multiple functions – such as, office management, facilities, risk, knowledge management in a multinational environment
Excellent oral and written English language communication skills and presenting information
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Interpersonal and communication skills; clarity, tact, professionalism and consensus building skills. Able to effectively persuade, influence, and negotiate, as appropriate
Excellent people management skills; ability to provide honest feedback and support in the development of employees' capabilities; ability to resolve problems that affect performance
Ability to combine hands-on attitude in operational topics and good analytical skills
Proactive in identifying opportunities for change and solution oriented
Good business judgment, ability to see potential second order effects
Ability to manage and respect budget demonstrating good financial management skills
Ability to excel in a large international company culture while functioning within a smaller local team
Ability to maintain highest levels of internal and external confidentiality & integrity
