Position Summary

This position provides support to the Facilities team and some support to Security/Executive Protection team at the Family Office. The incumbent will be primarily responsible for greeting and tracking visitors within the Family Office. The role is Monday –Friday, 40 hours a week. In addition, there may be some evening and weekend work required to assist the Facilities Manager in staffing after-hours events at the Family Office.

Roles and Responsibilities

  • Serve as Ambassador to the Family Office
  • Greet and prepare nametags for visitors, check ID’s, alert appropriate associates when guest arrives, confirm that all guest have signed out and departed the building at the end of the day
  • Serve as emergency contact within the office by having CPR/AED/First Aid certifications
  • Assist Facilities Manager with special projects as needed
  • Receive/respond to incoming communications via telephone and email
  • In-office mail distribution and manage UPS corporate account (e.g. reconciliation)
  • Ordering supplies for entire office
  • Handle confidential and non-routine information as needed or requested
  • Understand priorities, proactively resolve any conflicts
  • Provide callers with information such as company website, company fax numbers, and other related information
  • Take and retrieve messages for various personnel
  • Ensure phone directory is current
  • Ensure reception area is always tidy and presentable
  • Establish and maintain effective working relationships with associates, service contractors/vendors, patrons/public
  • Provides on-site event support during after-hours and weekend events
  • Serves as a liaison between client, vendors and the AMBFO Facilities Manager for after-hours events
  • Fields all facility-based questions to Facilities Manager
  • Works to ensure guest satisfaction and a positive experience while visiting AMBFO
  • Works alongside the Facilities Manager to ensure that the AMBFO venue is set up and maintained in accordance with guest’s wishes and BFOB’s standards of excellence
  • Other duties and responsibilities as assigned

Qualifications

  • High School diploma or equivalent (GED). College degree preferred.
  • Minimum of 3 years in Customer Service industry along with some office/administrative related experience
  • CPR-First Aid/AED Certification
  • Proficient using Microsoft office, Word, Excel, Outlook, and Power Point
  • Proficient doing social media checks (Facebook, Instagram, Indeed etc.)
  • Able to work independently with minimal supervision and be proactive
  • Outgoing personality and a willingness to take on additional responsibilities to ensure overall team success
  • Strong organizational and personal management skills
  • Maintain a professional demeanor and positive attitude
  • General knowledge of professional sports team environments
  • Excellent communication, interpersonal, and conflict resolution skills.
  • Ability to prioritize multiple tasks
  • Must be able to work in fast-paced environment
  • Must be flexible and willing to take on additional duties and responsibilities as needed to ensure overall team success
  • Must be willing to work after hours (nights and weekends) to assist the team
