Information and Technology Solutions (ITS) enables the WBG to achieve its mission of ending extreme poverty by 2030 and boosting shared prosperity in a sustainable manner by delivering transformative information and technologies to its staff working in over 150 client countries. ITS services range from: establishing the IT infrastructure to reach and connect staff and development stakeholders; providing the devices and agile technology and information applications to facilitate the science of delivery through decentralized services; creating and maintaining tools to integrate information across the World Bank Group, the clients we serve and the countries where we operate; and delivering the computing power staff need to analyze development challenges and identify solutions. The ITS business model combines dedicated business solutions centers that provide services tailored to specific World Bank Group business needs and shared services that provide infrastructure, applications and platforms for the entire Group.
The IT Regional Client Services is primarily tasked with ensuring the cohesive delivery of regional IT programs and initiatives, as well as aligning existing support channels with business needs. In achieving its objectives and providing for a best possible IT customer experience, Client Support directs and partners with CO/HQ IT Support teams, 24/7 IT Service Desks, Training and Outreach, as well as cross-functional teams delivering products and solutions.
This position will report to the Manager for ITS Regional Cluster (ITSCR) and assist him in managing his team of around 178 Staff spread across around 150 World Bank Country Offices.
Please note that this is a Country Office position in New Delhi, India subject to Local Recruitment under the New Delhi India Compensation Plan. If a staff member holding an HQ/ International Position is selected into this Position, then the staff member would convert to a Local Appointment (i.e., a local salary and no expatriate benefits).
Duties and Accountabilities: The Team Assistants duties and accountabilities include, but are not limited to, the following:
I. Work Plan support:
Monitor and document Team Initiatives and Projects of Regional Cluster.
Maintain a database of Internal and External Contacts for the Team using appropriate software.
Carry out full range of office support work, including manage travel, meetings and appointments of team members; write minutes for meetings;
Maintain and Update Standard Operating Procedures for Team Activities; monitor Team Activities, Budgets etc.
Maintain up to date filing system in the official repository of the World Bank.
Draft routine correspondence materials, using proper grammar, punctuation and style.
Track Correspondence and Activities for meeting Team Objectives and Clients Service Level Expectations.
II. Client Interaction and coordination:
Coordinate extensively with service partners and liaise frequently with team members both at headquarters and in the field, as well as external counterparts.
Coordinate schedules taking priorities into account, monitors changes, and communicates the information to appropriate staff, inside and outside the immediate work unit, including officials outside the Bank Group.
Work closely with other staff within the unit to make a significant contribution to the overall achievement of the unit's work program.
Solves routine queries (e.g., requests requiring file search, general information about Team’s activities etc.)
Logistical support for various events, e.g. Training workshops, Meetings etc.
lll. Other duties:
Provide back-up support for other staff and Task Team Assistants/Program assistants on project and
Administrative tasks in the assigned cluster and across the New Delhi office, when required.
High school diploma with minimum 2 years of experience or equivalent combination of education and experience.
Bachelor’s degree or Diploma in Information Management Systems/ Applications is preferred with a good working knowledge of English and Hindi.
Technology and systems knowledge - Demonstrates advanced knowledge and experience working with Microsoft Office applications (Excel, PowerPoint, Word, Share-point etc.) and Database/ Records Management. Has ability and willingness to maintain up-to-date knowledge and skills in technology.
Project and task management - Exhibits good organizational, problem-solving skills and ability to work competently with minimal supervision. Demonstrates attention to detail and quality. Has ability to manage multiple tasks and complete tasks within agreed schedule.
Institutional policies, processes, and procedures - Demonstrates knowledge of own department's programs and products, knows key players, understands own role. Displays understanding of WB policies and procedures relevant to the area of assigned responsibilities and is able to apply/ implement them.
Versatility and adaptability - Demonstrates flexibility and is receptive to the implementation of new solutions. Is willing to stretch own capability. Demonstrates motivation to avail and adapt oneself to effecting change.
