To assist with the day to day operations of the site & and to help ensure a safe effective working environment for sub-contractors, clients and guests
Be the Main point of contact for the local Sophos Management team
Be the main point of contact for the building, security company, maintenance-related staff and all other vendors
To be a point of contact with the Landlord of the building and hold regular meetings to discuss office space.
Monitor & Control, Admin Capex/Opex expenditure and maintain cost efficiency in Facilities Assets inventory & maintenance for the operation to ensure adequate budget is available for business plan.
Form SOP & SLA and ensure adherence of the same. Look for ways to improve processes.
Lead Planning and execution of new office projects and modification. To work with any contractors on-site, ensuring the site is fully informed of the schedule of works being undertaken and report weekly on progress.
Ensure adequate standard infrastructure availability for employees at all office locations for smooth functioning.
Gather feedback from clients to identify areas for improvement within service offering.
Undertake periodic process/system audits to ensure effectiveness and to identify areas for improvement.
Foster an environment of learning, excellence and innovation within all aspects of team work.
Monitoring the quality of administrative services including HVAC, catering, hospitality, housekeeping, accommodation & transportation, pest control, security and safety, CCTV and event management.
Supervise the process of submission of periodic statutory audits/returns as per various Acts to ensure compliances & timely payments to vendors.
Team lead to ensure safety of SOPHOS employees, site guests and contractors.
Carry out necessary risk assessment & audits in order to provide effective Health and Safety advice.
Review security for smooth functioning to ensure minimization of incidences and exposure to the Company
To be available 24/7 to assist with call outs and emergency situations as they arise.
Take the lead in establishing local environmental impact reduction schemes.
To be proactive in terms of enhancing employee experience at workplace.
Negotiations and selection of best fit vendor for best possible services or product at optimized rates.)
Inventory and ordering of all facilities related supplies. Responsibility for raising all building and facilities related PO’s and track spend.
Maintain site information and site guides and updating Local Facilities HUB site information
To be responsible for facilities related on-boarding and off-boarding activity.
Assist with office moves where required and ensure layout of office is up-to-date.
To take responsibility for all meeting room and conference room set up’s on site. Ensuring rooms are presentable, have correct equipment and have standardised furniture. Ensure that rooms and areas being used are set up in advance. If required work with IT to ensure all equipment is fully functioning.
Hold regular site meetings with Site leaders and local facilities business liaison team. Follow up Facilities related queries from site.
To undertake any other responsibilities that are required to ensure the office runs smoothly and efficiently.
