office however; will require adhoc travel to the Gurgaon office depending on business requirement. Primary responsibilities for the role would include:
Assist the India Technology Leadership Team in management of their calendars including setting up of meetings and all other appointments, including room bookings etc. and other support.
Organize all travel programs of India Technology Leadership Team to other Fidelity offices and travel and expenses including filing all claims etc.
Assist India Technology Leadership Team in creation of work documents like memos, presentations and worksheets.
Assist the India Technology Leadership Team in all coordination activities and follow ups within the India management team.
Assist the India Technology Leadership Team in management of office mails and capturing meeting minutes.
Work closely with the Direct reports of the India Technology Leadership Team and support with BAU activities and tasks.
Manage events and activities in Noida being the core executive assistant support at the location
Additional Responsibilities and Accountabilities
Manage calendars and schedule meetings/events. Use scheduling assistant feature for arranging group calls/meetings & blocking rooms in India & UK Offices.
Schedule calendar for senior visitors travelling to FIL India office.
Effectively use firm travel and meeting tools, follow policies and procedures to make travel/meeting arrangements, confirm details and creates itineraries.
Raising Travel Request with adequate approval as per process & Settling Travel claims, reimbursements for Director on priority once travel is completed.
(International Travel for Director includes Visa/Tickets/ Forex/Hotels/Cab/Office in different location etc.)
Playing a key role in getting travel approvals as required for individual/team travels frequently within timelines and helping team with invite letter/cover letter.
Being active member for Internal Newsletters and other staff communications.
Taking care of monthly & Quarterly R&R including arranging certificates & vouchers, distribution on time & keeping track for the same.
Arranging Town halls/Lunch & Learn Session/ Other team get-together/Dinner for India & Global FIL Leadership in collaboration with Management, IT, Admin & Additional external vendor as and when required.
Coordinate meetings between Management team members including scheduling off-sites, preparing presentations, and reviewing/completing reports and decks
Collaborate with colleagues to determine and recommend most cost-effective solutions for completing tasks.
Apply and share knowledge obtained about work processes, resources, structure and business of the firm/service line/functional group.
Other Departmental Support
Develops working relationship with support functions across the firm, e.g. CPS, facilities, transport, expense processing and compliance, finance, and other departments.
Supporting visits of senior officials from various overseas offices. (Cab, Desk setup, IT requirement & Building access during the visit)
Provide additional support to the Management team and Senior Leaders including: completing expense reports, scheduling/coordinating travel and providing solutions to day-to-day issues.
Proficient in vendor management & should use vendors with cost effectiveness & getting work done as per time lines.
Should be able to manage and settle end-to-end claims and expenses in line with company policy and guidelines.
Experience and Qualifications Required
Relevant industry experience of 4-8 years with a flair for business management skills
Robust interpersonal skills and time management
Must be a Graduate, (PG/MBA will be an added advantage). Person who has a good command over business management in addition to the EA role will be preferred
Ability to multi task and prioritize; work under pressure situations
Has excellent interpersonal skills
Good command in English (verbal & written)
Someone who is responsive and quick
Is good at email management
Has integrity and is trustworthy (mailbox access needs to be given)
Proficient in PowerPoint & MS-Excel
