The Role Responsibilities & Our Ideal Candidate

Purpose:
GBS India Onboarding team helps support the execution of candidate onboarding for all Business and Functions within the Country. The team collaborates with the Resourcing team, Stakeholders, and relevant parties to ensure smooth onboarding experience of the candidate joining Standard Chartered Global Business Services while ensuring that we follow the company’s standards and practices.

Group Standard Compliance Performance Objective:
As Onboarding Specialist, you are expected to promote a culture of openness, trust, and risk awareness. Where ethical, legal, and policy compliant conduct is the norm.
Manage the execution and collaboration of end-to-end onboarding process and ensure that the candidate due diligence is performed according to Group policies and standards on candidate new hires and onboarding requirements.
Review the onboarding control monitoring checks as part of the pre-onboarding formalities to mitigate any potential compliance breach.
Regular reviews and updates of onboarding policies, and application of best practices where required.

Business Delivery and Performance:
Provide effective and timely communication to the stakeholders and relevant parties for a continued collaboration.
Craft email communications to the stakeholders, and candidates about the onboarding readiness and operational requirements that needs to be done to Welcome the new joiners upon their arrival.
Ensure that all onboarding paperwork, contracts, welcome kits, property access, ID, hardware and software, and bank account opening are well prepared for onboarding brief.
Address new hires queries regarding their access card & ID card status and documentation.

Subject Matter Expert:
Represent Onboarding Team at Bengaluru location and ensure smooth flow of onboarding process by bringing best experience & feedback from new joiners.
Able to manage and execute all required tasks within timeliness as required for onboarding process with minimal supervision.
Should be an effective team player by connecting with team members across locations and able to support team and volume whenever required.

Candidate and Hiring Manager Experience Engagement:
Ensuring new joiner list is finalized and being shared on every week exception for Client Care Centre (CCC) hiring.
Ensure welcome emails been sent to the candidate two days in advance.
Ensure welcome call and induction invites is communicated to the candidate 1 week in advance.
Ensure day one readiness on access card, Id card & welcome kit
To provide a seamless and differentiated onboarding experience for all hires.
Engaging with people leaders on new hire package information.
Coordinate with People Capability team, Property team and caterer for Right Start Live (RSL) induction day or now better known as The Global Challenge.
Coordinate with Standard Chartered Employee Banking team for creating Staff Bank account opening for new hires.
Manage the New Joiners Welcome Kit inventory
Be the ‘point of contact’ at the early stage (first 30 days) of the employee’s career lifecycle and help them adjust to new environment.
Process employment paperwork (New Joiner Data, Contract of Employment, Candidate Feedback Form)
Need to publish New Joiners List, Final Joiners List & Pre-Joiners List to all required teams.
Sharing mandatory documents including PF Forms to HR Shared Services team on weekly basis.
Conduct Pre-Joiners Session by setting up expectations to New Joiners about Onboarding Process.
Communicating No Show list to Resourcing Team, Line Managers & Assets & Access Team.
Sharing the Joined list to People Leaders, Asset team & Access team.

Measures and Target:
New hires onboarding survey
Manage and ensuring Master Onboarding tracker details is updated
Make sure GSSP of candidates is cleared under ‘good to onboard’ status prior to their joining date.
Ensure good engagement model between Resourcing, Onboarding team, business stakeholders, GSSP team and new joiners is achieved.

Risk & Compliance

Collect all required documentation from New Joiners and share required documentation to DMT team.
Achieve 100% P-File completion status by ensuring records are accurate in documentation and Clear insufficiencies raised by DMT team within timelines.
Simplify the documentations process by eliminating the duplicate documents.
Identify and escalate to Resourcing Lead & Resourcing Specialist for non-adherence.

Special Project

Coordinate and provide local support for the relevant external and internal events and projects.

Measure:
KPI measured by appreciations received from People Leaders, Process Improvement Ideas Implemented and accuracy & efficiency followed in processes.
Feedback Survey received from New Joiners and Stakeholders engaged in Onboarding Process

Innovation

Continual improvement in our own process flow to further enhance the candidate / stakeholder experience dealing with onboarding team.
