Warehouse Logistics Operations Executive

A. JOB SCOPE

• Ensure effective and efficient operation of Warehouse
• Manage all aspects of Operations in the Onsite and Warehouse maintenance.


B. CHARACTERISTICS, DUTIES AND RESPONSIBILITIES:

• Onsite Operations – To handle the onsite operations to make sure the following
o To handle the arrival and departure of trucks on-time
o To make all documentation are upto date
o To coordinate with the Head office on the approval process
o To adhere to all specific compliance
o To effectively handle drivers
o To handle diesel filling
• Stores and Warehousing - Optimising stock level, Operational management and administration of the warehouse, Verification of goods receipts against orders / packing lists / invoices and delivery notes, Receipts and Quality control
• Implementation and enforce Company’s logistical / financial authority levels and procedures.
• Overall maintenance of administrative systems and procedures i.e. posting into financial / logistical accounting system.
• Process and conclude claims / transactions in conjunction with Finance Department on daily basis.

The stated job scope and responsibilities are not limited to the above but subject to the legitimate instruction of the departmental head. The company reserved the right to add, amend or reduce the above job specifications from the time to time subject to arising needs.


Accounts Executive.

A. JOB SCOPE


• Performs a variety of accounting tasks to assist the accounts manager, as well as prepare and process the monthly payroll; other duties include general ledger, accounting, internal auditing function and act as back up for other staff in the business office.

B. CHARACTERISTICS, DUTIES AND RESPONSIBILITIES:

• Responsible for providing scheduled support to the Accounts Assistant & Regional Manager – Finance & Accounts in accordance with policies and procedures.
• Maintaining accurate and up-to-date accounts receivable sub-ledgers and monthly account reconciliations.
• Maintaining spreadsheets.
• Credit control.
• Preparing statutory accounts.
• Managing daily post in and out.
• Closing all the trip sheets on everyday basis, updating it in spreadsheet as well as in Tally.
• Prepare all Accounts Receivable sub-ledger journals for posting to General ledger.
• Reconcile Accounts Receivable sub-ledger to General ledger.
• Process all client or miscellaneous receivable daily or as required to sub-ledger.
• Maintain working knowledge of the payroll process.
• Monitoring hard copy POD and continuously working on achieving POD in 7 day time frame from date of each dispatch, as bench mark. Ensure invoice are raised on receipt of POD and sent to appropriate customer for timely payments..
• Building rapport with Customer/Accounts department for quicker payment realization and reminding customer of the payment due dates and reviewing the credit time lines.
• Issuance and updating of all Journal Vouchers
• Keeping track on all Fixed Asset (In Detail) – To maintain individual files
• Keeping track on all Loans (In Detail) – To maintain individual files
• Bank Reconciliation
• Filing of all the above and related documents in a proper and systematic order
• Assist in Accounts Payable /General Ledger area
• Backup for billing if/when necessary
• Issuance and updating of all Sales Invoice
• In charge of payment receivable from Debtors and issuance of Official Receipts
• Keeping track on all Vehicle under the Fixed Asset (In Detail) – To maintain individual files
• Filing of all the above and related documents in a proper and systematic order

Requirements

REQUIREMENTS

1. Education, Training and Experience Required

• Graduation from an accredited college/university.
• At least 2-3 years relevant experience in a logistics function, with sound understanding of working in a mining environment.
• Must possess strong analytical skills.
• Computer literate (Windows, Office).

2. Knowledge, Skills, Abilities and Worker Characteristics

• Proven ability to provide support, guidance and training to colleagues.
• Technical knowledge to carry out the duties and responsibilities of the post.
• Must be able to prioritise tasks and make important decisions in a dynamic work environment.
• A track record of training and developing local staff.
• Proven people management skills.
• Required level of communication skills for the respective post.

C. REQUIREMENTS

1. Education, Training and Experience Required

• B.com /M.com.
• Two to Five years practical accounting experience.
• Certification in tally and hands on experience.


2. Knowledge, Skills, Abilities and Worker Characteristics

• Comprehensive knowledge of computer accounting software systems.
• Excellent interpersonal and communication skills.
• Developing Budgets, Legal Compliance, Tracking Budget Expenses, Accounting, Managing Processes, Attention to Detail.
