Front Office Executive and Administrative Assistant

Job Description

We are looking for an experienced Administrative Assitant to supervise daily support operations of our company and plan the most efficient administrative procedures. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of the workload in a timely manner is key to success in this position.

The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly.

Responsibilities

1. Plan and coordinate administrative procedures and systems and devise ways to streamline processes
2. Ensure the smooth and adequate flow of information within the company to facilitate other business operations
3. Oversee facilities services, maintenance activities and tradespersons (e.g electricians)
4. Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
5. Organize and supervise other office activities (recycling, renovations, event planning etc.)
6. Managing travel and schedules (flights, accommodation, transfers, VISA, meetings)
7. Assume responsibility for maintenance of office equipment, including computers, copy machines, and fax machines
8. Answer incoming calls and assume other receptionist duties when needed
9. Ensure operations adhere to policies and regulations
10. Keep abreast with all organizational changes and business developments

1. Proven experience as administration manager
2. In-depth understanding of office management procedures and departmental and legal policies
3. Familiarity with financial and facilities management principles
Proficient in MS Office
4. An analytical mind with problem-solving skills
5. Excellent organizational and multitasking abilities
6. A team player with leadership skills
7. Any degree in business administration or relative field
