Managing MD and Co-MD Desk
Calendar Maintenance- appointments/meetings schedule.
Scheduling Meeting internal and preparing for meetings (accumulating reports, relevant docs etc)
Managing correspondence-emails, reports and documentation, Initiates and respond to communication behalf where appropriate.
Drafting letters/ sending faxes etc as per requirement
Internal Coordination with Directors and teams. Being the single point of contact between employees and MD.
Communication & coordination/follow up with internal clients & external clients on daily basis
Handling complains immediately, escalation and follows up where required. Ensuring that both company and customer are satisfied.
Filing and record management that is easily retraceable
Handling all correspondence and dealing sensitively with
Follow up on essential projects for the MD and on the day to day status.
Minuting meeting and preparation of presentations.
Preparing as well as presenting presentations
Conducting internal training for staff.
Preparing Monthly Expense report monthly and travel related
Credit card payments and travel/re-imbursement voucher preparation for RM and follow up to payout.
Organizing complex travel itineraries for overseas trips and coping with
Last minute changes of schedules.
Coordinating meetings, conferences, travel arrangements for Branch and corp.
Travel, ticketing, accommodation (India and overseas).
Acquiring visa and other passes as per requirements
Contacting and Handling vendors/suppliers to ensure cost saving.
Day to day Administration functions.
Assistance in HR functions-
Preparing the doc required by HR for new joinee/coordinating for salary working /assisting new joinee in Joining formalities/introduction of new joinees Team Members
Active participation and initiation Team bonding activities- Picnic/Get-together and celebration
Employee grievance handling
Attendance/ musters tracking and clearance
Assist to complete Exit formalities in conjunction with HR team
Follow up for FNF release in time.
Good Secretarial skill & admin knowledge
good communication skill ( written and verbal both )
